Band Boosters Regular Meeting October 16, 2007 Called to order at 7:05 by President Samantha Bowen Minutes from September meeting approved as read. Samantha reviewed the fundraising approval process. We follow the school board's policy regarding fundraising activities. If you have any questions regarding fundraising you may call Paula, Samantha, or Morgan. Krispy Kreme sale has been approved. Date is pending. Mae is looking into grants which could provide the band with percussion instruments and pay for students to attend clinics. Our email list is growing. Due to the success of the website and email notification, Mr. Whelan is no longer sending paper schedules, notices, etc. home with students. The question of keeping parents informed who do not have internet access arose. Chris Dean suggested a newsletter update could be mailed perhaps 4 times yearly. We could also mail notices posted on the website to parents who let us know that they have that need. Officers & Treasurers Report Concession stand has made approximately $7000 so far. Color guard expenditures have been more than anticipated as we recently had to start from scratch to outfit them. Fund for feeding kids at competitions has been adequate. Plans for KMEA State Semifinal and Final Competition: Students will practice after school on Friday and be given sandwiches for their evening meal as they load the buses around 6pm. Snacks of tortilla chips and salsa will be provided Friday evening. Breakfast is provided by the motel on Saturday and Sunday morning. Boosters will take grills to the competition on Saturday and cook for the band between Semi finals and finals. The students will need to bring money for food Saturday evening at the stadium and Sunday on the road. Expected expenses in addition to food for the trip to KMEA: Rooms for students and staff - approximately $3000 Truck rental - $500-1000 Security officer from 12 midnight until 6 a.m. Friday and Saturday night at $25/hour will be around $300. We will be taking 2 buses for students and one bus for luggage. Only need one parent per bus as chaperones as each bus will have a director on board. There should be at least 15 parents attending. Paula will provide Mr. Whelan with $200 cash to use at his discretion to assist students in need to purchase food on Saturday and Sunday. Donations: We have received $675 in cash donations to be deposited this week. Thank you to Morgan and her mom for their efforts in soliciting these donations. Thank you notes with photo of the band are in and Jill will send notes to individuals and businesses who have supported our efforts.
